How We Roll Out Business Apps Without Disrupting Your Business

Becoming paperless or moving your business processes to a mobile app can seem difficult and intimidating. When you have always used paper to keep everything organised, switching to using digital tools might be daunting. Perhaps you have been avoiding the implementation of digital processes because it seems like a lot of work. Building an internal business app may appear to be too complex, beyond your team’s IT skills or extremely time-consuming.

At Rugged Data, we’ve tried to make the process of implementing an internal business app as simple as possible. We strive to minimise the amount of your time required to set everything up, and take the worry and stress out of everything.

Here’s how we roll out your app without disrupting your business.

Initial Business Analyst Consultation

When you approach our team for a custom Android reporting app, we assign you a business analyst. They'll will work alongside your team for as long as you’re with us. The first step is to schedule an initial call, web conference or site visit to determine your needs. Our Business Analysts have diverse backgrounds and are experienced with helping businesses through change. They won’t baffle you with technical jargon! They’ll do their best to understand where you are now and what your goals are.

Generally, this takes about an hour, and during that time they’ll help you find a place to start. This might include asking you for information, seeing copies of your existing forms and paperwork, or maybe a walk through of one of your processes.

Initial Business App Build

After our discussion, we’ll build an initial app for you to look at. This won’t be the final product, but it will give you an idea of the look and feel for your app. It gives us a starting point so that you can see how a business app can help you. We will use it as a point of discussion and to help stimulate ideas for developing your app further.

Iteration

In this step, we’ll start to refine your app. We’ll work through the app with you to listen to your feedback and make changes in response. We do all that we can to make things easier for your employees and you. Perhaps we can shave time with stock answers, drop down choices, checkbox selections of standard choices. Maybe you need the fields to change based on a yes/no answer.

Don’t worry - we’re very experienced. Our Business Analysts will walk you through the process to make sure your app is perfect. We’re aware that your team might be working at night, or your staff might not have English as their first language. Along the way we’ll try to make helpful suggestions to make work as simple as possible.

Where appropriate, we might help you integrate photography. Before and after pictures can add huge value to clients in your reports.

Output Refinement

Next we take a look at the output of your app - such as professional reports, forms or invoices. We'll refine it and make sure it looks fantastic. This is where we apply your branding so that your forms look brilliant and impress your clients. By adding your branding and ensuring it’s consistently present on your forms, you maximise the value of your output with your customers.

Every time you send someone a form, an invoice or a report, it’s a repetition of your brand, what it stands for, and the value you offer in every aspect of your work. Consistent presentation of your brand could improve your revenue by 23%. We deliver reports that match your professionalism.

Field Trial

Testing out your Android report creator in the real world is the next step. We always suggest trialling your app with a single user, who might be your most experienced employee or most technically literate. Getting feedback from your staff helps to get them to buy into a culture of continuous improvement. It helps you to build a stronger team that embraces changes, and puts your team in a position to train each other.

It can be difficult to get everyone on board, when you might be pushing against a fear of technology. Trying to adopt new technology in a non-tech environment is challenging. By starting with a single user, you can ease everyone in, get that person to buy into the tech and have them help to iron out any final changes.

Staff Training

Most of us now use smartphones and other mobile devices in our everyday lives. By 2019, 67% of people worldwide could own a mobile phone. Already, just over half of people in the UK use their smartphones for work-related activities. Not only are your staff used to using smartphones in their personal lives, but they also expect and want to use them in other areas of their life too.

Delivering a quality user experience for your staff that also produces a valuable output for your customers is vital for a modern business. We’re conscious of the fact that most software contains features that aren’t used. With this in mind, we make sure that we only present what’s important to people and include valuable features that will be used and benefit your business.

Dealing with paperwork isn’t what a lot of younger workers want to do. As Millennials and Generation Z take over the workforce, it’s important to take their needs into account. For younger workers, paperwork just gets in the way of “real” work. Using a mobile app is faster for them than using paper and pen, they’re used to predictive text and having their work spell-checked, among other things. Mobile technology gives them an efficient way to work, with intuitive design that offers a great user experience.

Innovate the Way You Innovate

Your mobile app will help you to innovate faster and more efficiently. Throughout your relationship with us, your Business Analyst will be on hand to manage your app for you. All it takes is a simple call or email for us to update your app and roll out changes. This means you avoid the cost and training required to have someone in your team do this for you. You can relax, knowing that you have a professional making sure that your app is supporting the very best processes that you can deliver.

Your app is a mechanism for improvement. You might start with one or two processes during the initial rollout, but it’s easy to keep bringing in new ones later. You won’t be using standard software like your competitors. Your unique app allows you to continually refine your business processes and keep offering more value to your clients.

Integration

The standard output format for your Android report creator is PDF, allowing you to deliver all files to your email inbox or download them from the customer portal. If you’re looking for more complete integrations with other applications or an existing database, we also have an API that helps you do this. You can extend the capability of your existing systems and tools with your app from Rugged Data.

As Eisenhower said, what counts is not necessarily the size of the dog in the fight, but the size of the fight in the dog. Your business can elevate itself with a competitive advantage from a business app that’s designed to meet your needs and those of your customers.
